This Privacy Policy explains how DataMartIn (“we”, “us”, “our”) collects, uses, and protects information when you visit datamartin.ca, contact us through the site, or book a meeting with us. We are a Canadian consultancy based in Toronto, Ontario.

Who we are

DataMartIn is the operating name of an independent data and analytics consultancy specialising in Microsoft Fabric, Power BI, and Azure. The website address is https://datamartin.ca. The person responsible for privacy questions is Martin Rojze, reachable at martin@datamartin.ca.

What information we collect

Information you give us directly

  • Contact form submissions. When you submit a form on the site, we collect the fields you fill in (typically name, email, company, message) so we can respond to you.
  • Meeting bookings. When you click “Talk to a Fabric specialist” or “Book a discovery call”, you are taken to Microsoft Bookings, which is operated by Microsoft. The information you enter there is collected by Microsoft on our behalf and shared back with us so we can hold the meeting. See Microsoft’s privacy statement for details.
  • Email correspondence. When you email us, we keep a copy of the message and your address so we can respond and reference the conversation later.

Information collected automatically

  • Server logs. Like most websites, our hosting provider records standard request information — IP address, browser type, requested URL, timestamp, referrer — for security and operational purposes. These logs are retained for a short period and are not used for marketing.
  • Cookies and similar technologies. The site uses cookies for two reasons: a small number of strictly necessary cookies required to keep the site working (for example, accepting form submissions and showing you the version of a page you requested), and analytics cookies that help us understand which content is useful. Analytics cookies are only set after you give consent through the cookie banner.
  • Analytics. We use Google Analytics 4 to understand traffic patterns in aggregate (pages visited, approximate location at country or region level, device category, referring source). Google Analytics is configured with IP anonymisation enabled, advertising features disabled, and Consent Mode v2 set to denied by default. No analytics is collected unless you grant consent.

How we use the information

  • To respond to your enquiries, schedule meetings, and deliver the services you ask us about.
  • To operate, secure, and improve the website (for example, identifying broken pages or slow loading times).
  • To understand, in aggregate, what content is useful to our audience and to inform what we publish next.
  • To meet legal, accounting, and contractual obligations.

We do not sell your personal information, and we do not use it for advertising profiling.

Who we share information with

We share information only with service providers we use to run the website and our business, and only to the extent each provider needs to do its job:

  • Web Hosting Canada (WHC) — hosting infrastructure for datamartin.ca.
  • Microsoft — meeting bookings via Microsoft Bookings, email through Microsoft 365, and operational tooling.
  • Google — Google Analytics 4 for aggregate traffic measurement, only when you grant analytics consent.

We will only disclose information to other parties if required by law or to enforce our agreements.

Where your information is stored

Our website is hosted in Canada. Some of the service providers listed above (notably Microsoft and Google) operate global infrastructure, which means information may be processed in or transferred to other countries, including the United States. Where this happens, we rely on the privacy frameworks and contractual safeguards offered by those providers.

How long we keep information

  • Contact form and email correspondence: kept while there is an active conversation or business relationship, then archived for a reasonable business-records period.
  • Server logs: typically 30 days, depending on the hosting provider’s retention policy.
  • Analytics: Google Analytics 4 default retention applies (14 months for user-level event data); aggregated reports are retained longer.

Your rights

Under Canadian federal privacy law (PIPEDA), Quebec’s Law 25, and applicable equivalents in other regions including the EU’s GDPR and the UK’s GDPR, you may have the right to:

  • Ask what personal information we hold about you.
  • Ask us to correct information that is inaccurate.
  • Ask us to delete information we no longer need.
  • Withdraw consent for analytics cookies at any time using the cookie banner.
  • Lodge a complaint with the relevant privacy regulator (the Office of the Privacy Commissioner of Canada, the Commission d’accès à l’information du Québec, or your regional equivalent).

How we protect information

The site is served over HTTPS. Administrative access uses unique accounts with strong passwords and, where supported, additional authentication factors. We work to keep WordPress core, plugins, and the theme up to date so known vulnerabilities are patched promptly.

Children

The site is intended for a professional audience. We do not knowingly collect information from anyone under the age of 16.

Changes to this policy

If we make material changes to this policy we will update the “Last updated” date at the top of this page and, where appropriate, post a notice on the site.
